ADMINISTRATIVE AND FINANCIAL UNIT

  • Responsible for managing related documents and correspondence.
  • Coordinate the file record system.
  • Manage the delivery and receipt of correspondence.
  • Record and keep a copy of the department's important document records.
  • Supervise all matters related to official and staff leave, property declaration, travel claims, exam and course applications.
  • List and record all capital assets that require maintenance or are being maintained.
  • Supervise facsimile and photocopier machines and manage all malfunctions or run out of toner, cartridges and fax rolls.
  • Manage all ICT damage and report immediately to the PKPMP maintenance department.
  • Prepare course reports, monitoring reports of public officials' involvement in online business, weekly AAR reports, monthly time card reports, monthly Y.A performance reports, security guard arrival reports and capital property and movable asset reports.
  • Supervise office security.
  • Manage store and office inventory including placing orders for store items that run out each month in the Main Store Division of the Responsibility Center.
  • Manage stationery applications for officers and staff and maintain a stationery store and office equipment.
  • Handle all matters related to service, staffing and administration.
  • Manage all building and infrastructure damage complaints.

 

SERVICE BUREAU UNIT

  • Customer service counter
  • Handling all outgoing and incoming phone calls at all times during office hours.
  • Making outgoing calls for officers and staff.
  • Connect all incoming / outgoing calls to officers / staff
  • Record and process all correspondence in the letter register book.
  • Assist with administrative matters, checking file status and sending documents.
  • Check/Efiling Counter/Payment Counter
  • Generate bills, Lower & High Court deposit bills, fines and confiscation bills.
  • Process documents from the public / auctioneers in efiling.
  • Collect revenue and services from the public.
  • Checking the receipts issued by the machine and distributing the receipts to the payers.
  • Totals and balances daily collections to submit to supervisor.
  • Accepting bail, fines and confiscations over the counter.
  • Printing official receipts for payments through e-CRT Finance, e-PCS and e-POS systems.

Monitor payments made using e-POS machines.

 

SUIT WRITING UNIT (TORT)

  • Register new Civil Law cases.
  • Manage documents, prepare correspondence and files related to cases before the Judge.
  • Setting the trial date, adjournment / amendment before the Judge.
  • Process manual file search documents.
  • Record and update cases in the Cause Book.
  • Process and record documents for Certified Copies (CTC).
  • Prepare monthly statistical reports.

 

LJC/LAR UNIT

  • Registering new cases for judicial review applications, Companies Act and Election Petitions, Company Winding Up Petitions, Land References, Short Call and Long Call.
  • Manage documents, prepare correspondence and files related to cases before the Judge.
  • Setting the hearing date, adjournment / amendment before the Judge.
  • Handle all instruments for Long Call applications.
  • Process manual file search documents.
  • Record and update cases in the Cause Book.
  • Process and record documents for Certified Copies (CTC).
  • Prepare monthly statistical reports.

 

CIVIL CASE INITIATOR SUIT UNIT

  • Registering new cases for applications for Initiate Summons, Public Auction(FC/MFC), family(F), [Assignment of Rights, Trustee, Permission to Sell, Transfer of Ownership, compensation (NCVC)], Intellectual(IP), Construction(C ), Commerce and Companies(NCC).
  • Manage documents, prepare correspondence and files related to cases before the Judge.
  • Setting the trial date, adjournment / amendment before the Judge.
  • Process manual file search documents and storage / release of compensation money.
  • Process and record documents for Certified Copies (CTC).
  • Prepare monthly statistical reports.

 

POWER OF REPRESENTATIVE UNIT

  • Register the Power of Attorney registration application, amend the Power of Attorney (PA) and Revocation (REV) documents.
  • Process and record documents for certified copies (CTC) of power of attorney.
  • Process the documents and record the registration number on each original / copy document and the date of filing.
  • Document seal of power of attorney (PA) and cancellation (RR / DR).
  • Record the number of cancellation (PA) in the cause book.

 

EXECUTION UNIT

  • Registering and executing the writ of seizure & sale, possession, distress, attachment before judgment execution order "Application for Execution".
  • Prepare documents for public auction.
  • Manage the registration of Penang state licensed auctioneers.
  • Process manual file search documents and efiling.

 

DIVORCE UNIT

  • Registering new cases of divorce petition / joint divorce / illegitimate child application / Mediation.
  • Manage documents, prepare correspondence and files related to cases before the Judge.
  • Setting the trial date, adjournment / amendment before the Judge.
  • Process and update the divorce confirmation status to JPN Putrajaya.
  • Record data on the status of divorce / annulment of marriage after receiving confirmation of the status from JPN Putrajaya.
  • Process and record documents for Certified Copies (CTC).
  • Record and update cases in the Cause Book.
  • Prepare monthly statistical reports.

 

UNIT LA PROBET

  • Registering new cases of applications for Administrative Power of Attorney (31) and Probate Grant (32).
  • Prepare correspondence and files related to cases before the Judge.
  • Setting the trial date, adjournment / amendment before the Judge.
  • Process manual file search documents, amendments to grants and letters for cancellation of form 'C'.
  • Process and record documents for Certified Copies (CTC).
  • Responsible for all wills and death certificates.
  • Prepare monthly statistical reports.

 

BANKRUPTCY UNIT

  • Registering new cases of bankruptcy notices and cyberdebt applications.
  • Prepare correspondence and files related to cases before the Judge.
  • Setting the trial date, adjournment / amendment before the Judge.
  • Process manual file search documents.
  • Process and record documents for Certified Copies (CTC).
  • Process files transferred from other courts.
  • Handles acceptance / sentencing order documents (AORO).
  • Record and update cases in the Cause Book.
  • Prepare monthly statistical reports.

 

CRIME UNIT

  • Registering criminal cases.
  • Prepare correspondence and files related to cases before the Judge.
  • Setting the trial date, adjournment / amendment / subpoena before the Judge.
  • Provide jail warrant / suspended warrant, surety bond, account freezing letter, bail release letter, hearing notice and OTP.
  • Dealing with the presence and placement of OKT during the day of the hearing.
  • Process manual file search documents.
  • Record and update cases in the Cause Book.
  • Provide services to the public, government departments online.

 

CIVIL APPEAL UNIT

Register appeal cases.

  • Prepare correspondence and files related to cases before the Judge.
  • Setting the trial date, adjournment / amendment before the Judge.
  • Process manual file search documents.
  • Prepare new case reports and disposal of civil appeal cases monthly statistics.

 

BUTTERWORTH SUPREME COURT

Registration

  • Receive documents by e-filing and manually in the CMS system for criminal appeal cases, criminal trials, criminal applications and criminal review.
  • Process documents by e-filing and send to Deputy Registrar / Senior Assistant Registrar for digital signature.
  • Ensure documents are in order according to the 2012 Court Rules.
  • Serving members of the public and lawyers at the Butterworth High Court Registry counter.

 

Case management

  • Ensuring the registration and processing of documents for cases filed in the High Court is carried out quickly and smoothly.
  • Set dates and conduct case management to ensure cases can be set for trial before Senior Assistant Registrars and High Court Judges.
  • Ensure that the statistical data of the cases is accurate and sent to the statistical unit according to the set time.

 

Post Trial

  • Ensure the trial results are updated in the CMS system.
  • Ensure Draft Orders and Clean Orders are approved in accordance with the terms ordered by the Judge.
  • Issuing Orders to Produce Persons in Custody (OTP), Summons to Witnesses (Subpoena), Arrest Warrants, Imprisonment Warrants, Arrest Warrants, Notices to Sureties, Notices to Appellants, Death Sentence Warrants, Warrants to Place in Temporary Custody and Surety Bonds for cases -criminal cases.
  • Prepare Orders for Criminal cases that have been decided and Notification Reports of case decisions to departments for Criminal Cases involving civil servants.
  • Responding to the Confirmation Letter of Caning Flogging filed by the Malaysian Prisons Department.
  • Open the Appeal file and prepare the Appeal Record if there is an appeal to the Court of Appeal and the Federal Court.

 

PENANG HIGH COURT LIBRARY/PENANG STATE COURT

  • Receive materials from suppliers and record the receipt into the ILMU System and Library Materials Register.
  • Providing Circulation services to users such as borrowing and returning library materials.
  • Collecting and organizing legal materials for the purpose of binding.
  • Providing facilities and facilities that are conducive to users such as computer services for the purpose of searching for information.
  • Make amendments to acts and legal materials for libraries and Y.A. Chambers. Judge.
  • Provide photocopies of materials required by Y.A. Judges, Law Officers, Lawyers and the public.
  • Prepare letters and contact the relevant parties on matters related to the library.
  • Implement a Reading Encouragement Program to foster a reading attitude among users.
